To register as a Full Delegate (Member), your membership needs to be current through the conference. You will be required to share your AIESEP username or email for verification of membership during the registration process. This is the username or email address that you use to log in to your AIESEP membership account on the AIESEP website.
Note: Each presenter needs to pay the registration fee before including the abstract in the abstract book. Deadline to pay the registration fee is May 2, 2025. Later registrations may lead to an exclusion of the abstract. Please note that this conference has a capacity. If you do not register prior to the conference hitting capacity, your abstract may be excluded from the conference.
Please note that the LATE REGISTRATION period does not include the closing gala dinner due to final numbers being due to the caterer for the event.
Full-Delegate (Member, Non-Member, and Graduate Student): Admission to all scientific events, 4 lunches, 7 coffee/tea breaks, Opening Ceremony Social, Closing Gala Dinner, and Conference Bag. If you register for this package during the late registration period, the closing gala dinner will be excluded due to final numbers being due to the caterer for the event.
Full Delegate (Low GDP): Admission to all scientific events, 4 lunches, 7 coffee/tea breaks, the opening ceremony social, the closing gala dinner, a conference bag, as well as a FREE 1-year membership to AIESEP. If you register for this package during the late registration period, the closing gala dinner will be excluded due to final numbers being due to the caterer for the event. This registration option is for conference attendees from LOW GDP countries, as categorized by AIESEP. These are:
African countries
Asian countries (with following exceptions: Bahrain, Brunei Darussalam, Hong Kong SAR, Israel, Japan, Republic of Korea, Kuwait, Macau SAR, Qatar, Singapore, UAE)
Latin American countries (exception: Bahamas)
and the following countries in wider Europe: Albania, Armenia, Azerbaijan, Belarus, Bosnia-Herzegovina, Bulgaria, Croatia, Czech Republic, Estonia, Georgia, Greece, Hungary, Kazakhstan, Kosovo, Latvia, Lithuania, FYR of Macedonia, Moldova, Montenegro, Poland, Portugal, Romania, Russia, Serbia, Slovakia, Slovenia, Turkey and Ukraine.
Undergraduate Delegate: Admission to all scientific events, 4 lunches, 7 coffee/tea breaks, Opening Ceremony Social, and Conference Bag.
Day Delegate: Admission to all scientific events on the specific date, 1 lunch, 2 coffee/tea breaks (the exception is the first day (May 19th) will have 1 coffee/tea break), and a conference bag. If you intend on attending multiple days as a day delegate, you will need to purchase the days you will be in attendance.
Accompanying Person Ticket: An accompanying person ticket permits a person (or guest) into the opening ceremony social and the closing gala. Please note that many types of registration include the opening ceremony social and closing gala. We have limited quantity of these!
All cancellations must be provided in writing via email to edu-aiesep-stpete2025@usf.edu and niemanc@usf.edu.
All registration deadlines follow the local time for the host institution, Eastern Standard Time (EST).
The Conference Organizers reserve the right to alter, amend, or cancel all or any of the arrangements contained in the program.
Cancellations received before April 1st, 2025 will have full refund. However, the university will charge $50 for handling costs.
Cancellations received prior to April 18th, 2025 will have 50% refund of the registration fee and $50 will be charged for handling.
Cancellations received from April 18th, 2025 (18th included) won't have any refund of the registration fee.
Refunds may take significant time to process due to university processes.
Other information: As a condition of registration, your contact information (name, email, affiliation, etc.) will be shared with AIESEP for the purpose of verifying your membership status. This is necessary to complete your registration status. If you are not a member and register as a member delegate, you will need to pay the difference between the member and non-member registrations prior to being admitted into the conference.
AIESEP may also use your contact information to provide updates on the organization, conferences, and related activities. If you do not wish to receive these updates, you can opt out by contacting us at EDU-aiesep-stpete2025@usf.edu.
In the event of cancellation of the AIESEP conference by the Host or AIESEP, including cancellations resulting from circumstances beyond the Host's reasonable control, such as but not limited to acts of God, war, terrorism, government actions, pandemics, or other events commonly referred to as "Force Majeure," the Host will refund the participant's registration fee in full. However, the Host or AIESEP shall not be liable for any other costs incurred by the participant, including but not limited to travel expenses, accommodation costs, or other related fees.
